Industry sector: public administration, vocational education
Cost categories: facility management services, educational materials
Amiedu, Finland’s largest provider of further education and vocational training wanted to streamline the procurement of their external support services. The Expense Reduction Analysts consultants investigated commercial services and training materials to have a picture of the current situation and to be able to launch a call for tender. Considerable savings were achieved within a strict timeframe and without compromising on quality. This straightforward collaboration was based on mutual trust.
The project included Amiedu’s facility management services such as cleaning, reception services, waste management, security, work wear, as well as training materials. Each of these cost categories had their own particular challenges.
When a wide range of vocational courses is offered, the institution needs a huge variety of training materials and equipment, from building materials to office supplies. The purchases are often course-specific and so diverse it is difficult to keep everything under control. For instance, one of the challenges for the facility management services was cleaning; there are many visitors coming every day to an educational facility.
Seppo Tammisto, Director of Administration at Amiedu was extremely happy about the partnership with the specialists of Expense Reduction Analysts. The analysis and procurement phases were conducted quickly, and the collaboration delivered unexpectedly large savings.
The fact that the collaboration with Expense Reduction Analysts carries on after the procurement stage was especially gratifying for the client. Regular meetings are held to discuss quality and to ensure that the cost level achieved is sustainable and that the quality requirements agreed by Amiedu with the supplier are met.
Amiedu and their service providers have a two-way relationship; the suppliers are considered partners. Cost control could not work if one party just dictated how things are run. This is not the way Expense Reduction Analysts operates; they work together with the client and suppliers, which means that both parties benefit in the long term.
What the client says
"Our service agreements are now correctly scaled and targeted. This brings cost savings for us and service packages that are correctly described for service providers. Each party can allocate the resources saved for their core business. I'd like to thank the Expense Reduction Analysts’ consultants for their highly professional work, their customer service approach and the great operational model, which have helped us to achieve fantastic results."

What Expense Reduction Analysts says
"When offering a diverse range of occupational training, the institution needs a huge variety of training materials and equipment, from building materials to office supplies. The purchases are often course-specific and they are so diverse that it's difficult to keep everything under control. One of the challenges for the facility management services - for example, cleaning - in an educational institution is the great number of visitors who come in every day. In terms of cost control, an educational institution is a great place to test our skills in generating savings for our clients.”
